Applications privacy.
How the Eclipse Network recruitment application system uses the information you submit.
What we collect
When you sign in through Discord, we receive your Discord user ID and public username/display name. We do not receive your Discord password. We also collect the Minecraft username, time zone, application answers, selected role or content platform, application reference number, submission date, and reviewer decision, including the recruitment round you applied during. Security checks include Cloudflare Turnstile.
Why we use it
We use these details only to identify applicants, review staff and creator applications, limit repeated submissions, assign trial roles if accepted and communicate an application decision. Applications are reviewed by authorised Eclipse team members.
Where it is stored
Applications and review decisions are stored by the Eclipse Applications service using Cloudflare D1. A copy of the application answers is sent to restricted review channels in the Eclipse Network Discord server. Cloudflare and Discord also process data under their own applicable terms and policies.
Retention and removal
The system is configured to remove application records from the website database after approximately 90 days and reviewer or recruitment-control audit records after 180 days. Private Discord review messages are separate and may remain until the Eclipse team deletes them. You can request access to or removal of your application by contacting staff privately.
Applicant account sessions
The website stores a short-lived session token in your browser's session storage to keep you signed in to the application portal. The backend sessions expire after six hours. One-time sign-in tickets and temporary OAuth states expire quickly and are periodically removed.
Notifications
Our applications bot attempts to send an acceptance or rejection message to your Discord account. If you have disabled DMs, messages may not arrive; you can check the status of your recent applications while signed in to the portal.
Contact
Use an official private support ticket via the Eclipse Network Discord to ask about your application or request removal. Do not post application details in public channels.
